Job Description:

Position Summary:Under the supervision of the Associate director of Behavioral Health, provides advanced secretarial and administrative support.Essential Functions of the Job:* Handles, routes and files correspondence, reports and records including those of confidential nature.* Prepares and types letters, memorandums, reports, and others as directed.* Prepares for meetings, agendas and keeps meeting minutes.* Receives all program invoices, mileage reimbursement, and prepares check requests.* Orders supplies, catering for working lunch, program incentives and other as directed.* Maintains records of all gift cards issued.* Assists the Associate Director of Behavioral Health in site preparations/ presentations.* Assists in the production of program literature, printing and advertising materials.* Assist with emergent block and unblock request for BH Providers.* Assist with ensuring template request are completed accurately.* Assists the Parent Educator to maintain a database of clients receiving services.Additional Duties and Responsibilities* Maintains an inventory of office supplies, forms, clerical supplies, Xerox paper and equipment.* Maintains established departmental policies and procedures, objectives, quality assurance program, safety, environmental and infection control standards.* Enhances professional growth and development through participation in educational programs, current literature, in-service meetings and workshops.* Attends meetings as required and participates on committees as directed.* Performs other related duties as assigned.Job Requirements:Education Required (Minimum level of education): High School Diploma or equivalent.Certifications/Licenses Required: Valid CA driver's licenseExperience Required (Minimum level of experience): Two plus years' experience. Previous experience in a nonprofit social or health care setting is preferred.Verbal and Written Skills Required to Perform the Job: Must be fluent in verbal and written Spanish and English. Excellent organizational and communication skills. Good public relations. Detail oriented and the ability to work with all levels of staffTechnical Knowledge and Skills Required to Perform the Job: Typing 65 wpm. Proficient in Windows, Microsoft Office including Excel and Access Database.Equipment Used (Computers, phones, vehicles, copy machines and fax machines etc.): Personal computer, telephone, fax, copier, and other office equipment.Working Conditions and Physical RequirementsPhysical activities include prolonged periods of sitting. Frequent standing and walking. Driving of personal vehicle. May be required to work weekends.Universal Requirements:Pre-employment requirements include I-9, physical, positive background and reference check results, complete application, new hire orientation, pre-employment PPDs.HIPAA/Compliance* Maintain privacy of all patient, employee and volunteer information and access such information only on a need to know basis for business purposes.* Comply with all regulations regarding corporate integrity and security obligations.
